Pick the columns for the job

A front-desk visitor log needs name, company, who they are visiting, time in, time out and a badge number. A meeting or class attendance sheet needs name, organization, email and a signature. An open house or event wants a name, phone and email, plus a column for whether the visitor is working with an agent. A volunteer sheet needs time in, time out and total hours so the hours can be added up later.

Fewer columns means wider boxes and readable handwriting. Five or six columns fit comfortably in portrait; use landscape for seven.

Privacy on a shared sheet

Everyone who signs can read every line above theirs, so only ask for what you will use. Leave out home addresses, dates of birth and anything sensitive. For an event where you want contact details for follow-up, consider a short client intake form per person instead. Fundraisers and charity events can follow up with a donation receipt for every donor.

Health-care offices can use sign-in sheets, but US federal guidance says they should not ask for information such as the reason for the visit. Name and appointment time are the usual limit.

Using the sheet as a record

A visitor log tells you who is in the building if you have to evacuate, so keep the current day's sheet where it can be grabbed. Training attendance sheets are often the evidence that a session took place — write the topic, trainer and date in the header, and keep them with your employee onboarding checklist or training records.

For meetings, pair the attendance sheet with the meeting notes and action tracker so the list of attendees and the list of actions are filed together.

Record what the meeting decided with the meeting minutes template, which counts attendees against your quorum. A staff sign-in sheet is also good evidence behind a time off request or an attendance write-up.

How many rows fit on a page?

About 20 in portrait and 14 in landscape at a comfortable handwriting height. You can choose a row height and print as many pages as you need; numbering continues across pages.

Can I add my own columns?

Yes. Rename any column, add up to eight in total, or remove ones you don't need. Column widths adjust automatically, and a signature column gets extra space.

Can I use it in Google Sheets or Excel?

Export the CSV and open it in Google Sheets, Excel or Numbers to keep a typed log with the same columns.

What should a visitor sign-in sheet include?

Usually name, company, person being visited, time in, time out and a badge or pass number. Add a vehicle registration column if you manage parking.
