A cash receipt is written proof that money changed hands. Enter who paid, how much and what for; the generator writes the amount out in words as on a check, shows any balance still owed and the change given, numbers the receipt, and prints a customer copy and an office copy on one page with a cut line.
A receipt number, the date, who paid, the amount in figures and in words, what the payment was for, how it was paid and who received it, with a signature. The amount in words makes alteration harder — it is much easier to turn $50 into $500 than "Fifty and 00/100 dollars" into anything else.
If the payment settles an invoice, write the invoice number in the "for" line. If it is a part-payment, enter the total due as well so the receipt shows the balance outstanding.
Cash leaves no bank record, so the receipt is the evidence for both sides. Keep the office copy, number receipts in sequence without gaps, and never sign one in advance. A run of numbered copies is also the simplest way to reconcile the cash drawer at the end of the day.
Businesses that receive more than $10,000 in cash in one transaction, or in related transactions, generally have to report it to the IRS on Form 8300 — the receipt is part of that record.
